Changes to ENROL - November 2019

New Zealand citizens cannot be withdrawn with the Leaving Reason Eligibility Expired

Where a student has the Eligibility Criteria "NZ Citizen (incl. Tokelau, Cook Is., Niue)" and the Leaving Reason "Eligibility Expired" is selected, ENROL will display an error message. The withdraw process will not be allowed to proceed until the Eligibility Criteria or the Leaving Reason is changed.

The error message that will be displayed for this circumstance is "Leaving Reason Eligibility Expired is not valid when the Eligibility Criteria is NZ Citizen."

Current Year Level (CYL) and Leaving Year Level (LYL) are now compulsory fields for Batch Processing

For Batch Processing, CYL and LYL are now mandatory fields in the Search Criteria Screen.

  • CYL and LYL fields will be presented with a red asterix (*) indicating these are mandatory fields.
  • When no value is entered into the newly mandatory fields an error message will be displayed.
  • Special schools are exempt from this change.

Remove default values currently held in Entry Year Level (EYL) field

ENROL will no longer present a default EYL value for the following screens:

  • Edit Enrolment
  • Create Student
  • Batch Update Details

In all these screens, when no value is entered into the EYL field and ‘Next’ is clicked, an error message will be returned.

Special Education finish date notification emails

For students that are receiving In Class Support, an email notification will be sent three weeks in advance and on the day of the Finish Date.

Email formatting for the three week in advance In Class Support finish date:

Subject Content
Regional Office [office] Student [First name] [Surname], NSN [NSN] enrolled at school [School Name], [School Number]

Student [First name] [Surname], NSN [NSN]

Enrolled at [School Name] on [Start date], the In Class Support  is due to finish [Finish date]

The In Class Support flag for the above student will be removed in ENROL on the Finish Date.

This will ensure the In Class enrolment emails to schools will be switched off.

Recipients of the advance email notification:

  • The local Ministry regional office.
  • The school where the student is enrolled.

Stand-down and Suspension (SDS) events can now be entered on dates considered to be non-school days

Previously when a user attempted to enter a Stand-down and Suspension event on a non-school day/date, an error message would be presented and the non-school day/date would not be accepted. The user will now be presented with a warning message and the non-school day/date will be accepted by the ENROL system.

A non-school day is currently classified as:

  • Weekend days
  • School holidays
  • Public Holidays

This change applies to all school types that are eligible to have SDS events entered into the ENROL system.

Contact MoE feedback form updates

When a user utilises the "Contact MoE" function to send in a query or feedback, text will appear in red advising the user of the email address that will be replied to.

You can change this email address by clicking on "Update School Details".

When a student is enrolled or withdrawn on a non-school day a warning message will be presented to the user

All relevant screens will now display a warning message when a non-school day/date is submitted to ENROL. The user will have an opportunity to correct this value if incorrect.

Private schools and Te Aho o Te Kura Pounamu are exempt from this change.

For certain Leaving Reasons and Post-School Activity combinations, where the student being withdrawn is under the age of 16, a warning message will be presented

The ENROL system will now present a warning message to the user requesting they check the Leaving Reason and Post-School Activity combination is correct before submitting the withdrawal of the student.

  • Leaving Reason "Gone Overseas" and Post-School Activity "Employment and further education/training"
  • Leaving Reason "Gone Overseas" and Post-School Activity "Employment"

The above combinations will present the following warning message:

"You have selected Post-School Activity as either Employment or Employment and further education/training where Leave Reason is Gone Overseas. Please ensure this is correct before proceeding."

  • Leaving Reason "Eligibility Expired" and Post-School Activity "Employment"

The above combinations will present the following warning message:

"You have selected Post-School Activity as either Employment or Employment and further education/training where Leave Reason is Eligibility Expired. Please ensure this is correct before proceeding."

A warning message will be presented when Leaving Reason Deceased is used

When a user is withdrawing a student and selects "Deceased" as the Leaving Reason a warning message will be displayed.

"You have selected Leaving Reason as Deceased. Please ensure this is correct before proceeding."
