Purpose

The purpose of this privacy statement is to ensure that users of the SchoolDNS portal understand what personal information will be collected and how it will be used and kept private.

We are committed to looking after the personal information entrusted to us so that our staff, members of the public, and the government retain the highest level of confidence in our ability to safeguard the personal information we hold.

What personal information will be collected?

People who have been authorised by their school to act as DNS admins in the SchoolDNS portal are required to provide their name and personal contact details so that they can log in.

When a school domain name is registered with SchoolDNS, the school must also provide contact details that will be publicly available on the Domain Name Commission (DNC) website. If the school chooses to provide an individual’s personal contact details for the DNC, rather than role-based or generic school-based contact details, those personal details will also be collected by SchoolDNS.

Why are we collecting your personal information?

SchoolDNS uses the provided personal information to ensure that only authorised people can enter the portal on behalf of their school.

If you choose not to provide this information, we'll be unable to provide you access to the SchoolDNS portal or related services.

How will we collect your personal information?

The school’s authorised DNS admins provide their personal information via:

  • email when their school asks to join our SchoolDNS, or
  • the SchoolDNS portal if the school has already joined.

How will we keep your personal information safe?

SchoolDNS keeps your information safe by storing it in an encrypted database that can only be accessed by SchoolDNS’s IT admin staff.

Sharing your personal information

When a DNS admin provides personal information so they can login to the DNS portal, their school or the Ministry of Education are the only third parties the information may be shared with. Sharing the information will only occur if the details are needed to manage a problem with the school’s access to the SchoolDNS portal.

If a school chooses to provide personal contact details for the Domain Name Commission’s (DNC) website (rather than role-based or generic school-based contact details), these will be shared with the DNC, as required by international internet agreements under Internet Corporation for Assigned Names and Numbers (ICANNs).

Cookies are only used to capture and maintain the DNS admins’ login credentials.

How long will we keep your personal information?

A DNS admin’s name and contact information will be immediately removed from SchoolDNS systems when they are removed as one of their school’s DNS admins. However, each change made in the SchoolDNS database includes the name of the DNS admin who made the change. The name will continue to be part of the records to ensure the data integrity of the database, unless the school or the individual contact SchoolDNS and request the name is changed to protect the privacy of the individual.
