This is the new version of the licensing criterion and associated guidance.

Criterion GMA208#

Enrolment and attendance records are maintained for each child attending. Records are kept for at least 7 years.

Documentation required#

Enrolment and attendance records for each child currently attending and for those who have attended in the previous 7 years.

Records meet all the requirements of the ECE Funding Handbook.

How to show you are complying #

Enrolment records 

You must keep enrolment and records in line with the requirements set in the ECE Funding Handbook (Chapter 6-1). These records must be held for 7 years before being disposed. 

Sections marked with this symbol ♦ in the Funding Handbook enrolment form template, must be included in every Enrolment Agreement Form. 

After 7 years, you can dispose of the records, but make sure no one can access the information when you do.

Attendance records

You must keep attendance records for every child that attends. Records must meet the requirements outlined in the ECE Funding Handbook (Chapter 6-3).

It's important to keep track of when each child attends, including the exact times and dates. This will help you meet the requirements for absence funding. You can record this in a way that works best for your service.
